Executive Staff Meeting Highlights March 13, 2012

Action: The minutes for Feb. 28, 2012, were approved. 

Agenda Items

  • Bob Nestle reviewed various safety related concerns forwarded from the Women’s Advisory Committee to Finance and Operations. All of the items are being addressed.

  • Jenni McManus reviewed the results of the recent Local 1585 elections.

  • Nestle touched on the announcement from David Gift about the reorganization of the technology units in Libraries, Computing and Technology. The reorganized unit is named Information Technology Services. The Libraries will remain a separate unit.

  • Gus Gosselin reviewed the upcoming phase of alterations to the Physical Plant building.

  • Barb Wilber reviewed several incidents recently of doors found unlocked, which should have been locked. Nestle recommended consideration of a card-access system which helps identify who is locking and unlocking doors.

  • Requests by employees for Physical Plant participation in fundraising activities were discussed. The general theme that evolved was employees are free to engage their colleagues in these activities. 

 

Roundtable Discussion Items

  • Deb Dohm noted Ron Flinn has numerous commitments over the next two weeks and will consequently be out of the office much of the time.

  • Gosselin explained he is in a similar situation to Flinn and will be unavailable much of this week and next.

  • Grand Valley State University Facilities Services staff will be on campus May 11, 2012. Gosselin distributed a list of our Grand Valley guests and their areas of interest. Anita Eberhard will distribute this list electronically and coordinate access for Grand Valley to appropriate staff in Physical Plant.

  • The successful candidate for the University Events Coordinator position is Michael Mitchner. We can all congratulate Mitchner upon his return to the Physical Plant on April 2, 2012, his first day in this position.

  • McManus announced the Take Your Child to Work Day event is scheduled for April 26 this year. Signup sheets and other information will be distributed beginning April 2, 2012.

  • Will Whelton reminded us that Wednesday was the scheduled building cleanout day which is part of RecycleMania. Bins were placed at various locations around the building for this effort.

  • Whelton reported on the review of our Annual Plan/Unit Information draft. There are areas that require figures and other clarification from this group. Tuesday, March 20, a final draft will be sent electronically to Tuesday Staff for review.

  • The Communications group has begun work on this year’s green issue of Facilities Focus. The deadline is a bit earlier due to the Physical Plant Energy Open House on April 20 and other pertinent activities. Timely assistance will be appreciated as articles are sent for review.

  • Wilber reviewed the current status on changes to organization names and codes. Three changes are underway. They include Energy and Environment, Safety and Security, and Energy Systems Mechanical Alterations & Improvements. Once the existing changes detailed above are complete, Wilber will check back for further organization change needs. For future reference: any organization changes will be on hold each year from May 25 through mid-September. This is due to central year-end reporting and processing.

  • A question on how to handle donations of material was raised. Wilber and Gerry Dobbs will report back to the group.

  • Wilber distributed the current draft of the Unit Information funding requests. All are asked to reviewed their items and forward any corrections or changes to Lynn Bergen.

  • Andy Smith reported on a movie which used the Shaw Lane Power Plant as a setting.

  • Lynda Boomer stated the MSU Scheduling Project is officially underway. This is the effort to establish a campus-wide calendaring system. Bill Lakos will represent Physical Plant.

  • Physical Plant will participate in Grandparents University scheduled for June 26 to 28, 2012.
